1. Who We Are
Aman Machinery Co., Ltd. ("Aman Machinery", "we", "us") supplies filling, capping, packing, labeling and assembling machines and related equipment to business customers worldwide. To prepare quotations and deliver orders, we may share inquiry information with our production and logistics partners, as described in Section 4.
This Privacy Policy explains what information we collect when you use this website (amanmachinery.com), why we collect it, and how we handle it. This policy applies only to amanmachinery.com; it does not apply to other websites, including any third-party marketplace pages where Aman Machinery may also have a presence.
2. Information We Collect
Information you give us. When you submit an inquiry or request a quote on this site, we collect what you type into the form — for example your name, company, email address, phone/WhatsApp number, country, the machine you are interested in, container/material/output details, and your message.
Information collected automatically. When you browse this site, we automatically collect standard technical and usage information, including: the pages you view, how you arrived at our site (referring page, or campaign or advertising identifiers contained in the URL), and which on-site actions you take — such as submitting an inquiry form or clicking our WhatsApp button (see Section 6 for how our WhatsApp button click is measured).
IP address in inquiry notification e-mails. We record the IP address of each inquiry in the internal notification e-mail sent to our sales team. This is used, alongside the hidden anti-bot field and rate limits already built into our forms, to help identify spam or abusive form submissions. This IP address is stored as part of that e-mail. We also keep it separately for a short period, solely to detect and block abuse of our forms — for example repeated submissions or uploads. Anti-abuse records of this kind are overwritten or cleared within 30 days.
Files you upload. If you attach files to an inquiry — for example drawings, 3D models, photos or specifications — we receive those files together with your inquiry. Please only upload material you are entitled to share with us. We ask you not to include personal information of other individuals in these files; we do not need it, and we do not ask for it.
3. Why We Collect It and How We Use It
We use the information above for the following purposes:
- Replying to your inquiry and preparing a quotation;
- Order fulfilment, including logistics, installation/commissioning, and after-sales support;
- Website analytics and marketing attribution, to understand which pages and channels bring visitors and inquiries;
- Security, fraud prevention, and preventing spam or abuse of our website forms;
- Complying with applicable legal obligations.
We do not sell your personal information. Separately, we do not share it with any third party for that third party's own independent marketing purposes.
4. Who Can See Your Information
Your inquiry is seen by our own sales team members who handle it, and by a company leader who is copied on every inquiry to keep oversight of customer communication. To make this possible, and to fulfil your order, the information may also be processed by:
- Our email service (which may include third-party email providers, such as Google, hosting some of our team's mailboxes), used to deliver your inquiry and let our team reply to you;
- Our production partners and suppliers: to prepare your quotation, we share only your technical requirements with them; we do not pass on your contact details at that stage. Where necessary to fulfil your order, such as logistics, customs clearance, installation, commissioning or after-sales support, we may share the minimum contact details needed with our logistics partners and the other parties involved for that purpose;
- Your uploaded files: most files are attached to the internal inquiry notification e-mail, and a copy is stored on our website hosting provider's server, outside the public website, so that our sales team can download them if the e-mail attachment does not arrive. Archive files (ZIP, RAR, 7Z) are not attached to the e-mail; they are stored only on that server, and the e-mail carries a link to download them. At the quotation stage, your uploaded files form part of the technical requirements we share with our production partners and suppliers, as described above;
- Google (Google Analytics), which processes the automatically-collected browsing and traffic-source information described in Section 6.
5. How Long We Keep It
Inquiry business records (including the notification e-mail described in Section 2): we keep these for 3 years after our last business interaction with you, unless you ask us to delete them earlier or the law requires us to keep specific records longer. "Last business interaction" means the most recent time you replied to us, submitted an inquiry, placed an order, or made an after-sales request — it is not refreshed merely by us sending you a follow-up message, by an automated e-mail, or by you visiting our website.
We delete or de-identify your inquiry records from our live systems after 3 years. However, our hosting provider retains backup copies for up to 5 years, which are overwritten on their rotation cycle. Backups are used only for disaster recovery, not for day-to-day access or marketing; this means that after you ask us to delete your data, a copy may still exist in those backups until they rotate out.
Uploaded files. Files attached to an inquiry are kept on our server for 90 days, after which they are deleted automatically and the download link stops working. For files that were attached to the internal notification e-mail, a copy remains inside that e-mail, which follows the 3-year inquiry-record retention described above. Archive files are not attached to the e-mail, so once they are deleted from our server after 90 days, no copy of them remains apart from the hosting provider's backups described above.
The IP address in a notification e-mail is kept only as long as that e-mail itself — up to the same 3-year period above — and is not retained for longer. A separate short-lived copy is kept only for the anti-abuse purpose described in Section 2, and is overwritten or cleared within 30 days.
Anti-spam and security data (such as records used to detect abusive form submissions) is short-lived: it is overwritten or cleared within 30 days.
WhatsApp button click records (see Section 6) contain no contact details and no IP address. They are kept with our inquiry records: up to 3 years, after which we delete them.
Google Analytics (GA4) retains data according to the retention period configured in our GA4 property.
Browser local storage (see Section 6) is stored on your own device, not on our servers. It has no expiry date at this time. Because it lives in your browser, we cannot remotely delete it from your device — you can clear it yourself at any time through your browser's site data settings.
6. Cookies and Analytics
We use Google Analytics (GA4) on this site to understand how visitors use it — which pages are viewed and which channel brought you here. These tools may use cookies or similar technologies.
When you click our WhatsApp button, it opens a WhatsApp chat pre-filled with a message that includes the page you were viewing. Separately, our server records one line for that click: a short reference code, the page and the area of the page you clicked it from, and how you arrived at our site (referring page, campaign or advertising identifiers). This record contains no contact details and no IP address; it counts a click, not a conversation.
We also save your traffic source and advertising identifiers (such as campaign or ad-click identifiers contained in the URL, and the page you landed on — on your first visit and on your current visit — together with the time of your last page view, so that separate visits can be told apart) in your browser's local storage, so that an inquiry you send later can tell our sales team how you found us. It currently has no expiry date; see Section 5.
You can control or disable this by adjusting your browser's cookie and tracking settings, using a browser extension that blocks analytics scripts, or installing Google's Analytics opt-out browser add-on. Disabling these tools does not affect your ability to submit an inquiry or browse the site. This site does not currently show a cookie-consent banner; the controls above are the way to manage your preferences today.
7. Your Rights
Depending on applicable law, you may request access to, correction of, or deletion of your personal information. We may need to verify your identity and may retain information where required or permitted for legal, contractual, security or record-keeping purposes.
To make such a request, email us at sales10@amanmachinery.com — this mailbox is confirmed to be controlled by Aman Machinery, with privacy and deletion requests handled directly by company leadership.
After we verify your identity, we will act on verified deletion requests. We cannot promise a specific completion time — our ability to delete or fully clear your data has some real limits today:
- Our hosting provider retains backup copies for up to 5 years, which are overwritten on their own rotation cycle. Backups are used only for disaster recovery, not for day-to-day access or marketing, but a copy may still exist in a backup for a period even after we delete the live copy;
- Once a notification e-mail has been sent, removing that specific copy requires a manual step on our side;
- If you ask us to delete your information, we will delete your uploaded files from our server and disable the download link. As with notification e-mails, removing the copy attached to an e-mail already delivered to a colleague's mailbox requires a manual step on our side, and a copy may remain in our hosting provider's backups until they rotate out.
- Information stored in your own browser's local storage (Section 6) is on your device, not ours — we cannot remove it remotely; please clear your browser's site data to remove it;
- We currently cannot delete Google Analytics (GA4) data tied to one specific individual, because our GA4 setup does not collect an identifier that links analytics activity back to a named person; GA4 data ages out automatically on the schedule set in our GA4 property.
8. Children
This website and our products are intended for business customers (B2B) and are not directed at children. We do not knowingly collect personal information from minors.
9. Changes to This Policy
We may update this Privacy Policy from time to time as our website or practices change. The "Last updated" date at the top of this page shows when it was last revised. We encourage you to review this page periodically.
